I am using Internet Explorer 8 and have a problem using SecureFileX. Is there a solution?

What can I do with SecureFileX?

Securely exchange confidential files with your clients, such as:
  • payroll information
  • employee census data
  • anniversary requests
  • loan packages
  • distribution paperwork
  • allocation reports
  • participant statements
  • anything with social security numbers on it

You can also send files that are too large for regular email.

Why not just use email?

Email attachments are not secure. When files are attached to email, they can be viewed by other parties. A number of federal privacy regulations as well as increasing state legislation is mandating that sensitive personal information be protected. You owe it to your clients to ensure the privacy of this data!

What do I need to use SecureFileX?

A web browser (such as Internet Explorer or Firefox) and an email address. There is no software to install and no hardware to purchase or manage.

What kind of files does SecureFileX support?

SecureFileX can transfer files of any type to anyone with an email address.

How large of a file can I send?

Up to 25MB.

What is acceptable usage?

SecureFileX can only be used for lawful purposes. SecureFileX does not allow:

  • Software pirating
  • Music pirating
  • Movie or DVD pirating
  • Child Pornography
  • Any type of free mass distribution
  • Sending unsolicited email (spam)

How does SecureFileX provide security for my files?

The data is encrypted using the Advanced Encryption Standard with 256-bit keys. This is the same encryption standard used by U.S. government organizations, such as the National Security Agency The system resides in a professionally managed SAS 70 Type II compliant data center, monitored 24 hours per day, 365 days per year. How many user accounts may I set up for my employees?

The number of employee user accounts depends upon which of our plans you select:

  • Value Plan = 2
  • Standard Plan = 5
  • Premium Plan = 8

You can add additional employee users if the above numbers are insufficient.

How many user accounts may I set up for my clients?

An unlimited number of user accounts may be created for your clients.

Is there a monthly limit on file transfers?

The monthly limit on file transfers depends upon which of our plans you select:

  • Value Plan = 500MB
  • Standard Plan = 1GB
  • Premium Plan = 2GB

You can increase the monthly transfer limit if the above numbers are insufficient.

What happens if I exceed my monthly limit on file transfers?

The first month the limit is exceeded, we contact you and suggest that you increase your limit by an additional 1GB to avoid file transfer overage charges. We do not bill you for overage charges the first month. If you do not increase the limit, you will be billed $.30 per MB on transfers that exceed your monthly transfer limit in future months.

Who sets up my employees' user accounts?

We create the account for the employee from your firm who has been designated a Company Administrator. This individual is assigned special privileges that are not available to other employees and has the authority to create and delete your employee user accounts. The Company Administrator can also create client user accounts and send and receive files just like other employee users. More than one employee may be assigned Company Administrator privileges.

Who sets up my clients' user accounts?

Any employee authorized to utilize the system can create a client user account.

What is the user ID for user accounts?

The ID is the user's email address.

Who assigns the passwords?

For enhanced security, all users of SecureFileX create their own passwords which are known only to them. When the user's account is established, the user automatically receives email notification that an account has been created. The email includes a link to the secure server where the user activates the account by creating a password. If the user forgets his password, the log-in page includes a link to request a password reset.

How do users log in to the secure server?

A personalized log-in page will be created for your company (branded with your logo, colors, etc.)--click here to view an actual log-in page. You will designate a sub-domain name, usually your website's domain name, which will be used to create your log-in address. For example, if your company's domain name is abcpension.com, the address of your personalized log-in page would be https://abcpension.SecureFileX.com. Just put a link on your website that takes your employees and clients directly to your log-in page.

Do I need a website to utilize SecureFileX?

No. If you don't have a website, you can simply give your clients the web address of the log-in page, for example, https://abcpension.SecureFileX.com. Better yet, sign up for our starter or premium website services and we will create a website with the link for you. 

Do my clients need to subscribe to the service too?

No. When you subscribe to the service you can create an unlimited number of client users. Since there is no software involved, all your client needs is access to the Internet to utilize the system.

How do I send a file?

You log into the system and complete a simple web form, selecting the recipient's name from a drop down menu of users and then selecting the files from your computer that you want to send (using the same method you would use to attach a file to an email). The recipient will receive an email alerting him that a file is ready for download. Click here to see the a sample of the "Send a File" page.

Can I send files to multiple recipients?

Yes. You can send files to five recipients in a single transfer.

How long will it take to send my files?

The files are first uploaded to the SecureFileX server. How long this takes depends on the speed of your Internet connection and the size of the file. Small files will transfer quickly, but it may take several minutes to send very large files, in part due the the encryption process. Once the files are uploaded to the SecureFileX server, they immediately become available for the recipient to download.

How long will a file be available for download?

The sender specifies whether the files are to be available for a period of 7, 14 or 21 days when the transfer is initiated. At the end of this period, the files are automatically deleted from the server.

Can I send more than one file at a time?

Yes. You can send up to five files in a single transfer.

How do I know if my files were received?

The sender has the option of electing to receive email notification when the file has been viewed or downloaded.

How do I receive a file?

When a file is sent to you, SecureFileX notifies you via an email message. Inside the email message is a link to the log-in page. You log in using your email address and password and download your file(s). Click here to view the "Received Files" page.

Can one of my clients view my other clients' files?

No. When a client user logs in to the secure server, the only files he can view are files that were sent directly to him.

Are reports available to monitor employee and client usage?

Yes. The individual designated as the Company Administrator can view usage reports and audit logs which provide details of activity on the secure server. Click here to view the "Audit Logs" page.

I am using Internet Explorer 8 and have a problem accessing SecureFileX pages. Is there a solution?

We are aware of an issue regarding Internet Explorer 8 causing problems accessing pages on SecureFileX. With the release of Internet Explorer 8, Microsoft changed many of the security settings in an attempt to provide a more secure and safe browsing experience.
